Summer Programs begin the week after Reunion Weekend and go through the first week in August. Day conferences and one-day workshops/seminars may be scheduled during the academic year if space permits and at the approval of service departments.

Facilities and Service Fees
- This fee covers the general use of campus buildings, grounds, athletic facilities; routine custodial services during normal hours and conference staff services. There will be additional fees for extra facility assistance.
- Special set-ups, exceptional clean-ups, staff overtime, building or property damage, etc, will be billed separately.

Keys
- Arrangements may be made with the Summer Programs Office to pick up your set of keys before campers arrive.
- If a director requires a master key, they must maintain possession of the key at all times.
- Keys must be promptly returned the day following the end of camp.
- There is a $150.00 charge for each room key not returned within 48 hours after the end of camp. The Camp Director is responsible for payment to Summer Programs Office.

Camp Program/Roster
- A camp brochure draft advertising the camp must be sent to the Summer Programs Office no less than four (4) weeks prior to arrival. "Kenyon College" must not be part of any camp's name, only as the location of the camp.
- A copy of the camp's daily schedule is to be submitted to the Summer Programs Office when picking up keys.
- The Summer Programs Office requires that a complete and fully updated camper and staff roster be submitted immediately after registration. The Summer Programs Office should be notified if any changes are made.
- Permission must be given for early arrivals or late departures by the Summer Programs Office.

Supervision
- Each camp will have adequate live-in staff (at least 1:10 ratio) whose rooms will be spaced among the campers, designating "staff" on the door.
- Any early arrivals must have live in supervision, as well as campers staying an additional night, or between camps.
- At no time can the residence hall be left unattended. Designated staff must be present unless all campers are involved in activities elsewhere.
- Alcoholic beverages are prohibited in all rooms and public areas of the residence hall or meeting rooms.

Security
- Although Gambier is a "safe" area, it should be made clear to each camper and staff member that room doors should be locked, and checked after locking, when leaving a room. Valuables and cash are the responsibility of the individual.
- Outside doors of residence halls will be locked at a given time as requested, by Kenyon Office of Safety and Security.

Medical/Insurance
- Kenyon College Health and Counseling Services is not available over the summer. Campers who have medical problems may be taken to the emergency room at the Knox County Hospital.
- The director of the camp is required to provide medical coverage for the camp(s) at his/her expense.
- It is the policy of the College to require those who use its facilities to carry appropriate liability insurance and to include Kenyon College as an additional insured. This insurance certificate should be received by the conference office no later than four weeks prior to the camp(s).

Financial
- There is a room charge for registered staff members. Families of staff members must be registered and will also be charged.
- No refunds will be made for unexpected late arrivals or early departures, except when the Summer Programs Office is notified of an emergency and given a copy of the refund/receipt of money returned to the camper(s).
- A deposit determined by the Summer Programs Office is required when picking up the keys. Bills must be paid within thirty (30) days of receipt of invoice.

Other Notices
- Holding a camp is a privilege, not a right.
- A daily meeting time or call-in time will be established with each camp coach to touch base with both the Summer Programs Office and the residence hall supervisor of the residence hall.
- Campers' and staff rooms will be vacated by NOON on the final day of each camp, unless arrangements are made in advance with the Summer Programs Office.
- The Summer Programs Office, with counsel from the Chief Business Officer & Administration, has the right to refuse a camp should they not comply with the regulations, and/or with recurring camper problems.
- Rooms should be inspected before and after camp by the director, so it can be determined if any damage was done by that particular group. Any damages found in rooms must be reported to the Summer Programs Office in advance of the arrival of the camp.

Applicable Laws
This agreement shall be governed by the laws of the state of Ohio. Camp Facilities and Services
This facilities and services agreement is made and entered into by and between Kenyon College, Gambier, Ohio, 43022, hereinafter called College, and all groups, hereafter called Client. The College agrees to provide facilities and services as listed below and the Purchaser agrees to compensate the College for those facilities and services in accordance with the terms and conditions listed below.

College Regulations
Client is required to adhere to all College policies, regulations, guidelines and all local, state and federal laws concerning health, safety and public order. Failure to comply with these regulations may result in forfeiture of the privilege of using College facilities and services, or termination of this agreement. College regulations include but are not limited to the following College buildings and on College property:
- All individuals will abide by Ohio law, federal law and College regulations regarding intoxicants, narcotics and drugs.
- Firearms, weapons, ammunition, fireworks, explosives and highly flammable materials are prohibited within the residence halls or buildings or on the grounds.
- Animals are prohibited in any location in the residence halls or dining hall, with the exception of seeing eye dogs or other documented service animals.
- Hot plates or similar appliances are prohibited in rooms nor is any type of cooking allowed in any room except kitchen areas.
- Remodeling or renovating of rooms or furniture, tampering with the electrical or mechanical fixtures in the rooms, placement of antennas or radios, television, etc. out of windows, removal of or addition of furniture without arrangement with the Summer Programs Office is prohibited.
- Attaching any object to any College premise by nail, screw, or alteration of the premises in any manner whatsoever without the prior permission of the Summer Programs Office is prohibited.
- Parking in service or fire lanes is prohibited.
- Tampering with or removal of windows or window screens from any part of any building is prohibited.
- Tampering with the fire system or fire fighting equipment is prohibited.
- Removal of lounge or common area furniture into individual rooms is prohibited without permission from the Summer Programs Office.
- Candles are prohibited unless given specific written permission.
- Kenyon College facilities are smoke-free.
