2019 W-2 and 1095-C Electronic Consent Announcement
Kenyon College is pleased to announce that employees may elect to receive their 2019 W-2 Wage and Tax Statement and 1095-C Statement online through Banner Self Service in an IRS approved PDF format. If you wish to view your 2019 or prior year’s W-2 and 1095-C, you must give your consent to receive the form in an electronic format on or before January 7, 2020 (instructions below).
Kenyon College is required by the IRS to furnish all employees with a form W-2 and 1095-C for each calendar year. The form W-2 details the employee’s compensation, tax withholding and required disclosures for the year. The 1095-C reports Employer-Provided Health Insurance Offer and Coverage for the year.
Federal regulations require that employees give their consent to receive the W-2 and 1095-C in an electronic format. Once consent is given it carries forward each year and does not need to be repeated.
If you wish to receive your 2018 W-2 and/or 1095-C statement electronically, you must give your consent on or before January 7th, 2020. Once the W-2's and 1095-C's are processed, current employees who gave their consent will be able to view and print their statements immediately. An email notification will be sent to employees when the forms are available on Banner Self Service.
NOTE: To create Federal and State acceptable copies of your W-2 to send with your taxes, use the Printable W-2 and/or 1095-C button at the bottom of the Display page. This will take you to the actual form which contains your social security number. Print the form from this screen.
IMPORTANT REMINDER: These documents contain your social security number, which you will want to protect to help prevent identify theft. If accessing this information on campus, employees are advised to NOT leave their computer screen unattended when viewing these forms. Also, be sure to retrieve the printed copy promptly if routed to a network printer shared by others.
If electronic consent is given, it will no longer be necessary for current employees to request a duplicate of their forms. Access to 2019 as well as all subsequent years will be available through your Banner Self Service Personal Access Pages.
Beginning with the 2019 W-2 and 1095-C, an employee who consents to receiving the forms electronically will not receive a paper copy. If an employee does not consent, Payroll will mail the W-2 and 1095-C, using the US Postal Service, to the current home address on record no later than January 31, 2020.
Kenyon College will mail forms W-2 and 1095-C, using the U.S. Postal Service, to the current address on record of those employees who have separated from the college.
